Terms and Conditions

1. Acceptance

These terms apply to the SentraDeed website, the SentraDeed service used by county staff, and the resident alert portal a county may offer. SentraDeed is provided by Computer Systems Plus, Inc. ("CSP", "we"). By using the website, the service or the portal, you agree to these terms. For a county, its signed agreement with CSP controls; where that agreement and these terms differ, the county agreement governs.

2. The service

SentraDeed helps a California county recorder run a notification program under Government Code §27297.7. It:

• processes the county's daily Recorder and Assessor files and matches recorded documents to Assessor ownership;
• generates print-ready, accessible notice PDFs, a mail-house manifest and reports, and tracks deadlines and exceptions for county staff;
• optionally runs a resident alert portal for the county.

SentraDeed does not mail notices. The county, or the county's chosen mail house, prints and mails them. Resident alerts are informational and supplement, but do not replace, the notice the county mails.

3. County responsibilities

• Data accuracy. The county is responsible for the accuracy and completeness of the files it sends, and for reviewing exceptions that SentraDeed sends to staff.
• Mailing. The county is responsible for printing, mailing and recording that notices were mailed.
• Legal determinations. The county decides how the statute applies to its program, including covered document types, exemptions, notice content, fees and contracting. SentraDeed does not give legal advice.
• Its users. The county manages who has access, assigns roles and removes access for staff who leave.

4. Accounts and acceptable use

Staff accounts are for the named person only. Keep sign-in details private and tell us promptly about any suspected unauthorized access. You may not:

• try to access another county's data or any data you are not authorized to see;
• probe, scan or test the service's security except as allowed in our vulnerability reporting guidance;
• disrupt the service, upload malicious files, or use it to send unsolicited messages;
• use the resident portal to monitor people or properties for harassment or any unlawful purpose.

5. Data ownership

County data, including Recorder and Assessor files, document images, notices and resident subscriptions, belongs to the county. CSP processes it only on the county's instructions and to provide the service. CSP does not sell county or resident data or use it for advertising. 6. Confidentiality and security

CSP keeps county data confidential and protects it with the measures described on the Security page. Specific security commitments for a county are set in [to be set in the county agreement].

7. Resident portal terms

• The portal is free for residents.
• Alerts are informational. They may be delayed or missed, for example because of email filtering, and they are not a title search, a guarantee of title, or protection against fraud.
• Alerts supplement, and do not replace, the notice mailed by the county.
• Nothing in the portal or in an alert is legal advice.
• You can unsubscribe at any time from any alert email, or manage your alerts from a link sent to your email. See the privacy section of our Disclosures.

8. AI features

SentraDeed includes optional AI features (AI Assist): an APN second reader and an exception copilot. They are optional, off by default, and turned on only if a county chooses. The APN second reader can only confirm an OCR reading it matches exactly; the copilot's suggestions are advisory and staff apply them. AI never decides on its own whether a notice is sent and never clears fraud signals. See the AI Assist note on the Security page and the Sub-processors page for what data these features use.

9. Intellectual property

CSP owns the SentraDeed software, website and documentation, and the SentraDeed name. The county receives the right to use the service for its program as set out in its agreement. The county owns its data and its own notice templates. Feedback you give us may be used to improve the service.

10. Disclaimer of warranties

[For counsel review.] Except as stated in a county agreement, the website, the service and the resident portal are provided "as is" and "as available". OCR, matching and signer checks are designed to send uncertain cases to people, but CSP does not warrant that every document will be matched or read correctly, that the service will be uninterrupted, or that any notice or alert will prevent fraud.

11. Limitation of liability

[For counsel review.] To the extent the law allows, CSP is not liable for indirect, incidental or consequential damages, or for lost data or profits, arising from the use of the website, the service or the portal. For counties, liability limits are [to be set in the county agreement]. Nothing in these terms limits liability that cannot be limited by law.

12. Term, termination and your data

A county's use of the service runs for the term in its agreement. When it ends, CSP will return the county's data in a standard format and then delete it from the service, within [to be set in the county agreement], except where the law requires it to be kept. Residents can end their use of the portal at any time by unsubscribing. We may suspend access that breaks these terms or puts the service or other counties at risk.

13. Changes to these terms

We may update these terms. The "Last updated" date above shows when they last changed. Material changes that affect a county will be communicated to the county contact before they take effect; a county agreement continues to govern where it differs.

14. Governing law
